Reserved Activity Request

To request to use academic, public, or university space NOT managed by the building specific processes fill out the Reserved Activity Request form.

IMPORTANT NOTE

The time necessary for review will depend on the activity (size, past experiences, foreseeable disruption, etc.).

To avoid delays, please complete the Reserved Activity Request in its entirety. Provide all relevant details and include any additional information for consideration. If further information is requested and not provided at least 5 business days prior to your activity, your request will be denied.


What is a Reserved Activity?

Any use of indoor or outdoor space for a designated purpose, including events. This can include:

  • Scheduled activities open for the public to attend or participate
  • Exhibitions, expositions, fairs, festivals, entertainment
  • Cause-related, fundraising, or leisure activities
  • Activities advertised to the public by any communication means

Submitting a Reserved Activity Request

Step 1: Review Important Information

  • Review the Event Safety Manual
  • Note that activities may not be advertised prior to approval. Please do not advertise your activity before submitting your request.
  • For outdoor activities, plan a rain site location. A Severe Weather Contingency Plan template is available at usf.edu/em/planning

Step 2: Secure Your Space

The Service Center does not assist with room, space, or venue reservations. This is the responsibility of the activity organizer. Secure your space or venue reservation separately before submitting your request.

Step 3: Complete and Submit Your Request

Complete the process by filling out and submitting the Reserved Activity Request form. Submit your completed form to Jackie Gahagan at jgahagan@usf.edu

If your request is denied:

Our goal is to ensure a successful activity that is safe for all participants and protects University property. If your reserved activity request is denied, we will make every effort to work with you toward reaching an acceptable alternative so your activity may continue. Having an activity that has not been approved or has been denied places responsibility for personal and property liability on the activity organizer.

For parking accommodations, please visit Parking and Transportation Services Event Parking. You will receive a separate confirmation e-mail for these requests.

For tables/chairs/disposable trash bins, please fill out the Administrative Services Business Center's Department and Direct Support Organization (DSO) Work Authorization Table & Chair Rental Form (PDF). Be prepared to include set up and clean up times in your request.


The Service Center is responsible for evaluating each reserved activity request, determining the various entities that will be affected by the activity, and getting feedback and/or approval from those affected. We interpret policies and procedures for customers, approve requests, and follow up on each activity. Our primary objective is to help customers have a successful activity that is safe for all participants and protects University property.
